Google Calendar

Connect your Google Calendar to R-Link Studio so that every meeting and webinar you schedule is automatically pushed to your calendar — complete with event details and the join link.

Business Plan feature

Google Calendar Integration is available on the Business Plan. It is currently found in Account Settings but will be moving to the Integrations tab in a future update.

STEP-BY-STEP

Open Account Settings

In your Admin Panel, click Account in the left sidebar. This page lets you update your Organization Details, adjust Regional Settings, and connect your Google Calendar under the Calendar Integration section.

Connect Google Calendar

Scroll down to the Calendar Integration section and click Connect next to Google Calendar. This opens a Google authentication popup.

Tip

Make sure you are signed into the Google account you want to connect before clicking Connect. This ensures the right account appears in the popup.

Choose Your Google Account

A Google popup will appear listing all accounts currently signed into your browser. Click the account you want to link to R-Link Studio.

Click Continue

Google will confirm which account is signing back into R-Link. Review the details and click Continue to proceed.

Click Allow

Google will ask for permission to let R-Link access your calendar. Click Allow to grant access — this lets R-Link view your calendar list and push events to it.

Connection Successful

Once authorized, the Calendar Integration section updates to show Active status along with a Disconnect option. Your connected Google account email appears as confirmation.

Choose Which Calendar to Push Events To

If your Google account has multiple calendars, use the Push events to this calendar dropdown to select which one receives your R-Link events. Click the dropdown and pick your preferred calendar.

All future events are synced automatically

Going forward, all Scheduled Meetings and Scheduled Webinars will automatically be pushed to your connected calendar — complete with event details and the join link.

Zapier Integration

Business Plan Admin Only

Connect R-Link Studio to Zapier to automate workflows across 6,000+ apps. Pass webinar registrations to your CRM, trigger follow-up sequences when contracts are signed, sync meeting recordings, and more — without writing a single line of code.

Business Plan feature

The Zapier integration is available on the Business Plan. You'll need access to the Integrations tab in your R-Link Studio Admin Panel to connect.

PART 1 — CONNECT ZAPIER TO R-LINK STUDIO

Go to the Integrations Tab

From your R-Link Studio Admin Panel, navigate to the Integrations tab in the left sidebar. You'll see both the GoHighLevel and Zapier integration cards.

Log In to Your Zapier Account

Clicking Connect Zapier will redirect you to Zapier. Log in to your existing Zapier account, or sign up for a free account if you don't have one yet.

Accept the Invitation

After logging in, you'll land on the R-Link Studio invitation page on Zapier. This grants R-Link Studio access to appear as a Trigger or Action in your Zaps.

Invite Only — currently in beta

R-Link Studio on Zapier is currently invite-only and has not yet been reviewed or published on the Zapier marketplace. The invitation is sent from [email protected] and is safe to accept.

PART 2 — CREATE YOUR FIRST ZAP

Create a New Zap

From your Zapier dashboard, you're ready to build automations using R-Link Studio as a trigger or action.

  1. 1In the Zapier dashboard, go to the Zaps tab and click + Create in the top right.

Set Up the R-Link Studio Trigger

Inside the Zap builder, configure R-Link Studio as the trigger — the event in R-Link that kicks off your automation.

  1. 1Click the Trigger step and search for R-Link Studio.
  2. 2Choose your Trigger Event from the dropdown (e.g. New Webinar Registrant) and select your Account.
  3. 3If this is your first time adding your R-Link Studio account, an authorization pop-up will appear. Click Yes, Continue to R-Link Studio to allow access.

    If you have connected your account before, your R-Link Studio account will show up here by default — no re-authorization needed.

  1. 4Your R-Link Studio account is now added to Zapier and ready to use in any Zap.

  1. 6Click Continue and add your next step — for example, passing webinar registrant data to your CRM or sending a Slack notification.
Common use case

A popular workflow: New Webinar Registrant → Add to CRM (e.g. GoHighLevel, HubSpot, or ActiveCampaign). Every time someone registers for your R-Link webinar, they're automatically added as a contact in your CRM.

Your Integrations Tab Now Shows an Active Connection

Once Zapier is connected, head back to the Integrations tab in your R-Link Studio Admin Panel. The Zapier card will now reflect your active connection.

Trigger Events from R-Link Studio

These are the events in R-Link Studio that can start a Zap — use them as the first step of any automation.

HighLevel (GoHighLevel) Integration

Connect R-Link Studio to GoHighLevel to automatically export new contacts from your meetings directly into your GHL account — tagged with meeting data, no manual work required.

The GoHighLevel integration is available on the Business Plan. You'll need admin access to both R-Link Studio and your GoHighLevel account to complete the setup.

PART 1 — SET UP IN GOHIGHLEVEL

Go to Private Integrations

Log in to your GoHighLevel account, then navigate to Settings → Private Integrations. You'll see a list of any existing integrations and a button to create a new one.

Create a New Integration

Click Create New Integration in the top right. This opens a form to set up your integration's basic info.

Assign a Name and Description

On the Basic Info tab, give your integration a name (e.g. R-Link Studio) and an optional description so your team knows what it does. Click Next to continue.

Add the Contacts Scope

On the Scopes tab, select Edit Contacts — contacts.write from the dropdown. This is the only permission R-Link Studio needs to push new leads into your GHL contacts. Click Create.

Only grant what's needed

Only the contacts.write scope is required. Leads are only exported to GoHighLevel while this integration is connected.

Copy Your Private Token

Once the integration is created, a confirmation modal appears with your Private Integration Token. Click Copy and save it somewhere safe — this token is only shown once.

Keep your token private

This token can be used to view or update account data. Do not share it publicly. Store it securely — in a password manager or private notes.

Grab Your Location ID

Your Location ID is found directly in your GoHighLevel browser URL. Navigate to any page in your GHL sub-account and look at the URL — the Location ID is the string between /location/ and /settings.

PART 2 — CONNECT IN R-LINK STUDIO

Open the Integrations Tab in R-Link Studio

Go to your R-Link Studio Admin Panel → Integrations. You'll see the GoHighLevel card with two fields: Private Integration Token and Location ID.

Add Your Token and Location ID, Then Connect

Paste your Private Integration Token and Location ID into the fields, then click Connect GoHighLevel to complete the integration.

↑ With both fields filled in, click Connect GoHighLevel. New leads from your R-Link meetings will now be automatically pushed to your GHL contacts.
You're connected!

Once connected, every participant who joins your R-Link meetings will be automatically exported to GoHighLevel as a contact — tagged with meeting data for easy follow-up.
