Joining a Meeting as a Participant

Got an invite to an R-Link Studio meeting? This guide walks you through exactly how to join — whether you're on a desktop browser or using the R-Link Studio mobile app. No account required if you're joining as a guest.

HOW TO JOIN

Join via Desktop Browser

The easiest way to join a meeting on desktop is directly through your browser — no app download needed.

  1. 1Click the meeting link from your email invite or messaging app — it will open automatically in your browser. You can also copy the room link and paste it directly into your browser's address bar.

    Example Meeting URL https://studio.r-link.com/rally The last part of the URL (rally) is the Room Name — you'll also need this if joining via the mobile app.
  2. 2The Pre-Launch Page will open. Here you can preview your camera, choose your microphone, and see the Room Name.
  3. 3Type your name in the name field.
  4. 4Click Join Meeting to enter the room.
Before you enter

On the Pre-Launch Page, make sure your camera and microphone are set correctly. You can toggle them on or off before joining using the icons in the preview area.

Join via Mobile Native App

R-Link Studio has a native app available on both iOS and Android. You can join as a signed-in member or as a guest.

DOWNLOAD THE APP
Apple StoreSearch R-Link Studio on the App Store and install.
Play StoreSearch R-Link Studio on Google Play and install.

If you have an R-Link account:

  1. 1Open the app and tap Sign In under For Members.
  2. 2Enter your credentials to sign in to your account.
  3. 3Join the meeting from your dashboard or via the meeting link.

If you're joining as a guest:

  1. 1Open the app. Under For Guests, type the Room Name (e.g. rally) and tap Join.
    You can also find the room name in the meeting link — e.g. studio.rlink.com/rally
  2. 2The Pre-Launch Page opens. Set your camera and microphone.
  3. 3Enter your name and tap Join Meeting.

Join as: Participant vs. Moderator

On the Pre-Launch Page you'll see a Join as toggle at the bottom. Select Participant (highlighted in purple) to join as an audience member. The Moderator role is for hosts and co-hosts with a room password.

If the Session Is Being Recorded

When the host starts a recording, all participants are immediately notified with a pop-up. This ensures everyone in the room is aware their audio and video may be captured.

You have two options:

YOUR OPTIONS
Got itAcknowledges the recording and keeps you in the session. By staying, you are giving consent to have your audio and video recorded.
Leave MeetingExits the session immediately if you do not wish to be recorded.

Registering for a Webinar

Some R-Link Studio webinars require registration before you can attend. This article explains how to register, what happens after you submit your details, and the reminder emails you may receive before the session.

Registration is optional — set by the host

Not all webinars require registration. The host decides when setting up the event. If no registration is required, you'll receive a direct join link instead.

Business Plan feature

Webinar scheduling and registration is available on the Business Plan. If you received a registration link, the host is on a Business Plan and has enabled registration for their event.

HOW TO REGISTER

Open the Registration Link

The host will share a webinar registration link with you via email, social media, or messaging. Click or paste the link into your browser to open the registration page.

Complete the Registration Form

The registration page is customised by the host. It shows the webinar title, date, time, a countdown timer, and a short form asking for your details.

  1. 1Fill in your First Name, Last Name, and Email Address.
  2. 2Click the Register button to submit your registration.
  3. 3Already registered? Click Already registered? Verify your email to join to retrieve your join link.

Registration Confirmed — Add to Calendar

After clicking Register, the page updates immediately to show a confirmation message. You'll see a countdown to the webinar and an Add to Calendar button.

Click Add to Calendar to save the event directly to your preferred calendar app:

Yahoo CalendarOpens Yahoo Calendar with the event details.
Apple CalendarDownloads an .ics file that opens in Apple Calendar.
Download .icsSaves a universal calendar file compatible with any calendar app.
We recommend adding it to your calendar

Adding the webinar to your calendar ensures you get a reminder at the right time and have the event details handy. You won't need to search for the confirmation email when it's time to join.

Confirmation Email

After registering, what happens next depends on how the host configured the webinar:

REGISTRATION APPROVAL TYPES
Auto-Approve Your confirmation email with the join link is sent immediately after you register.
Manual Approval The host reviews your registration first. Your confirmation email is only sent once the host approves your request.
Keep your confirmation email

Your confirmation email contains the unique join link for the webinar. Save it — you'll need it to enter the session on the day.

Reminder Emails

If the host has configured reminders, you will receive automated emails before the webinar starts:

REMINDER SCHEDULE
24 Hours BeforeA reminder email with your join link, sent the day before the webinar.
1 Hour BeforeA final reminder email with your join link, sent one hour before the session starts.
Reminders are set by the host

Not all webinars include reminder emails. It depends on how the host configured the event. If you don't receive a reminder, check your confirmation email for the join link.

Joining a Webinar as an Attendee

For the best webinar experience, join from a desktop browser. You'll have a full view of the presentation, elements, and all content shared by the host throughout the session.

Joining When Registration Was Required

If the webinar required registration, your entry point is the join link in your confirmation or reminder email.

  1. 1Open your confirmation email or a reminder email (sent 24 hours or 1 hour before the webinar).
  2. 2Click the join link in the email. This is unique to your registration and will take you directly into the webinar room — no extra steps needed.

Joining When Registration Is Not Required

If the webinar does not require registration, you join directly from the event landing page when the session goes live.

  1. 1Go back to the webinar event landing page link that was shared with you.
  2. 2Once the webinar is live, the page will update to show a Join Webinar Now button. Click it to enter the room immediately.

If a Waiting Room Is Active

The host may have a Waiting Room enabled. If so, clicking your join link will place you in the waiting room instead of the live session directly.

Just wait — the host will let you in

When a waiting room is active, the host controls when attendees are admitted into the session. Stay on the page and you'll be moved into the webinar automatically once the host lets you in.

What You Can Do as an Attendee

Webinars are a different experience from meetings. As an attendee, you are a viewer — the host controls the stage.

ATTENDEE CAPABILITIES
Audio & Video ❌ Not available by default. Your camera and microphone are off. You can only go on stage if the host promotes you as a panelist or speaker.
Chat ✅ You can send messages in the chat throughout the session.
Reactions & Effects ✅ You can interact with the host and other attendees using live reactions and effects.
Getting promoted to the stage

If the host invites you on stage, you'll be able to turn on your camera and microphone and interact as a panelist or presenter. The host manages all stage promotions during the session.
