Elements are the building blocks of every R-Link Studio session — pre-built, reusable components you prepare in advance and activate instantly while you're live. This article gives you a full picture of what Elements are, where to find them, every type available, and how the Asset and Shared Libraries work.

How Elements Work in R-Link Studio

Elements are created and saved in your Elements Library inside the Admin Panel — before your session starts. Once you're live, every saved element appears in the studio Left Panel, ready to activate with a single click.

HOW THE FLOW WORKS
Step 1 — CreateGo to Admin Panel → Elements Library. Click + Add Element, choose a type, configure it, and save it to your library.
Step 2 — OrganiseGroup elements into Folders by session or event. Use Favorites to pin your most-used elements for quick access.
Step 3 — Activate LiveIn a live session, open the Left Panel, find your element, and click to activate it instantly for all participants.
Step 4 — ReuseElements are saved permanently. Build once, use across as many sessions as you need.

The Elements Library

The Elements Library is your home base for creating and organising all elements. Find it in the Admin Panel under the Elements tab in the left navigation.

The Asset Library

The Asset Library stores all media files — images, videos, and audio — that power your elements. Access it via the green Asset Library button at the top of the Elements page.

UploadClick Upload to add new media files directly to your library.
Filter by TypeUse the All / Images / Videos / Audio tabs to filter assets by media type.

Storage Usage

Files uploaded to the Asset Library count toward your account's storage capacity — shared with your session Recordings.
Basic Plan — 10 GB  ·  Business Plan — 50 GB

Remove unused assets to free up space. Check usage in Account & Billing.

Pro Tip

Upload all your media to the Asset Library before your event. Having files preloaded means no delays or upload waits while you're live.

Shared Libraries

Shared Libraries let you use element sets created and shared by other users — and share your own. Any shared library added to your account appears at the bottom of your Elements Library, separate from your personal elements.

Shared Libraries appear below your personal folders. Shared elements can be activated in sessions but cannot be edited.
SHARED LIBRARIES — HOW IT WORKS
Add Shared ElementsClick Add Shared Elements and enter a share code to import another user's folder into your account.
Share Your ElementsShare any of your own folders with other users. They receive your elements as a locked, ready-to-use copy in their account.
Independent CopiesWhen someone imports your folder, they get their own copy. Changes you make after sharing will not sync to their copy.
Editing RestrictionsShared libraries are locked — you can activate all elements inside but cannot modify or delete them. Duplicate any element to create an editable copy.

Navigating to the Elements Library

All element management happens in the Elements Library in your Admin Panel — the central place to create, organise, and maintain every element for your sessions.

Creating a New Element

Click + Add Element to start building. Choose the element type, configure its settings, give it a name, and save it to your library.

The + Add Element button is available in the Elements Library and inside the studio Left Panel while live.

  1. 1In the Admin Panel, go to Elements in the left navigation.
  2. 2Click + Add Element. The element type list will appear.
  3. 3Select the element type you want to create.
  4. 4Fill in the element's name, content, and type-specific settings.
  5. 5Click Save. Your element is now in the library, ready for any session.
Pro Tip — Build Before You Go Live

Create and name all your elements before your session starts. Once you're live, activation is a single click — the more you prepare in advance, the smoother your session flow.

Organising with Folders

Folders let you group elements by session, event, or topic so your library stays tidy and you can find the right elements instantly. Think of each folder as a setlist for a specific show.

Folders appear in the main Elements Library view. Each folder displays the number of elements inside it.

WORKING WITH FOLDERS
Create a FolderClick + Folder (top right). Name it to match the session or event.
Expand a FolderClick the arrow next to the folder name to see the elements inside.
Reorder FoldersDrag folders by the grip handle on the left to reorder them.
RenameOpen the folder's ⋮ menu and select Rename.
Share...Open the folder's ⋮ menu and select Share... to share it as a shared library with other users.
DeleteOpen the folder's ⋮ menu and select Delete. Elements return to the root library.
Pro Tip — Name Folders After Your Sessions

A folder per recurring session keeps your library organised as it grows. Order elements inside the folder to match the sequence you'll use them — your flow is ready before you go live.

Favorites & Search

For elements you reuse across sessions, Favorites and Search let you find them instantly — without digging through folders.

FAVORITES & SEARCH
Mark as FavoriteOpen the element's ⋮ menu and select Favorite to star it. The star shows as filled when active.
View FavoritesClick Favorites at the top of the library to filter to only starred elements.
Remove FavoriteOpen the element's ⋮ menu and select Favorite again to unstar it. The element stays in your library.
SearchType in the Search elements... bar to instantly filter your entire library by element name — works across all folders.

Editing, Duplicating & Deleting Elements

Every element has a ⋮ action menu — hover over the element row to reveal it. From here you can update, copy, move, or remove elements.

DuplicateCreate an identical copy saved to your library — useful for building variations of the same element type.
FavoriteStar the element to add it to your Favorites filter.
Share...Share the element as part of a shared library with another user or team.
Move toMove the element into a specific folder — a submenu lists your available folders.
DeletePermanently removes the element. This action cannot be undone.
Before You Delete

Deleted elements cannot be recovered. If there's any chance you'll reuse one, Duplicate it first to keep a copy before deleting the original.

Sharing Elements

You can share any folder from your Elements Library with other R-Link Studio users using a simple share code — and receive folders shared with you the same way. Shared folders are independent copies, so both sides can use and manage their elements freely.

Independent Copies

When someone imports your shared folder, they get their own copy of every element inside. Changes you make to the original after sharing will not sync to their copy — and vice versa.

STEP-BY-STEP

How to Share a Folder

Sharing a folder generates a unique share code that you give to the other person. They use that code to import a copy of the folder and all its elements into their own account.

Only folders can be shared — not individual elements. Make sure all elements you want to share are inside the folder before sharing.
  1. 1In the Elements Library, hover over the folder you want to share.
  2. 2Click the action menu on the right side of the folder row.
  3. 3Select Share... from the menu. The Share Folder modal will open.
  4. 4Copy the unique share code and send it to the person — via message, email, or however you prefer.
  5. 5Click Done to close the modal. The code stays active until you stop sharing.

SHARE FOLDER — KEY DETAILS
Share CodeA unique code tied to the folder. Anyone with the code can import a copy of the folder into their account.
What Gets SharedEvery element inside the folder at the time of import. Elements added after sharing are not included in copies already made.
Stop SharingClick Stop Sharing in the modal to deactivate the code. Copies already made by others remain in their accounts.

How to Receive a Shared Folder

When someone shares a folder with you, they'll give you a share code. Use the Add Shared Elements button in your Elements Library to import it.

The imported folder appears under Shared Libraries at the bottom of your Elements Library.
  1. 1In your Elements Library, click Add Shared Elements (top right, next to + Folder).
  2. 2Enter the share code you received in the field provided.
  3. 3Click Continue and choose a destination if prompted.
  4. 4The folder and all its elements will be imported as your own independent copy, ready to use in any session.

Your Copy, Your Rules

Once imported, the folder belongs to you. Rename it, edit elements, add it to sessions, duplicate — anything you'd do with your own library. The original sender's future changes won't affect your copy.

Core Elements: Video, Audio & Presentation

Video, Audio, and Presentation are the Core Elements — available on both Basic and Business plans. These are the foundation of any R-Link Studio session, letting you play videos, add audio, and share slide decks directly on stage. This article walks you through setting up each one.

STEP-BY-STEP

Video

The Video element lets you play a pre-recorded video clip directly on stage during your session — visible to all participants. Use it for product demos, intro clips, testimonials, or any pre-recorded content you want to present as part of your session flow.

Video elements play on the main stage. You control when to start them — they don't play automatically unless Autoplay is enabled.

Step 1 — Choose Your Video Source

When creating or editing a Video element, you have three ways to source your video:

VIDEO SOURCE OPTIONS
UploadUpload a video file directly from your computer. Supported formats: MP4, MOV, WebM — max file size 1 GB. The file is saved to your Asset Library.
LibraryPick a video you've already uploaded from your Asset Library. Keeps your elements organised without re-uploading the same file.
URLLink to an external video using a direct video URL. Click Validate to confirm the URL is a playable video before saving.

Step 2 — Name, Folder & Description

ELEMENT DETAILS
Video Name RequiredGive the element a clear name so you can identify it quickly in your library during a live session (e.g. "Intro Video", "Product Demo Q2").
Folder RequiredAssign the element to a folder in your library. Keeps your elements organised by session or event.
DescriptionOptional internal notes about the video — not visible to attendees. Useful for reminding yourself when or how to use this clip.

Step 3 — Configure Playback Settings

PLAYBACK SETTINGS
AutoplayWhen ON — the video starts playing automatically the moment you add it to the stage. When OFF — the video is placed on stage but you control when it starts.
LoopWhen ON — the video repeats automatically when it finishes. When OFF — it plays once and stops.

Step 4 — Audio Mode & Display Mode

AUDIO MODE
NormalFull volume. The video audio plays at its original volume alongside any other audio in the session.
BackgroundDucks other audio — lowers the volume of other audio sources (microphones, music) while the video plays, so the video is heard clearly.
MutedNo sound. The video plays silently — useful for background visual content or when the presenter is talking over the video.
DISPLAY MODE
Full ScreenThe video fills the entire stage — takes over the full viewing area for all participants. Best for main content videos.
Picture in PictureThe video appears as a small overlay on the stage while the presenter remains visible. Good for supplementary clips.
BackgroundThe video plays behind participants — visible as a video background layer. Good for intro loops or branded backgrounds.
Pro Tip — Upload to Asset Library First

Upload your videos to the Asset Library before your session. Using the Library source tab is faster than re-uploading each time, and keeps your elements lightweight. Remember: video files count toward your storage limit (Basic: 10 GB / Business: 50 GB).

Audio

The Audio element lets you play music, sound effects, or any audio file during your session — heard by all participants without any video on screen. Use it for background music while attendees join, intro music, transitions between segments, or any audio-only content.

Audio plays through the session room for all participants. No visual appears on stage — audio only.

Step 1 — Choose Your Audio Source

Step 2 — Name, Folder, Category & Description

Folder RequiredAssign the element to a folder to keep your library organised by session or event.
CategoryClassify the audio by type (e.g. Background Music, Sound Effect). Helps filter and locate elements quickly across a large library.
DescriptionOptional internal notes — not visible to attendees. Useful for noting when or how to use the clip.

Step 3 — Configure Playback Settings

PLAYBACK SETTINGS
AutoplayWhen ON — audio starts playing automatically the moment you activate the element. When OFF — the element is queued and you start playback manually.
LoopWhen ON — the audio repeats automatically when it finishes. When OFF — it plays once and stops.
VolumeSet the playback volume with the slider (0–100%). Default is 80%. Adjusts the volume of this audio element independently from other audio in the session.
Audio DuckingWhen ON — automatically reduces the volume of microphones and other audio sources while this audio plays, so it can be heard clearly. When OFF — all audio plays at its set level simultaneously.
Audio vs Video — Key Differences

Audio elements have no Display Mode — they are audio only, nothing appears on stage visually. The Audio element also has a Category field and a Volume slider that Video doesn't have, giving you more granular control over how audio fits into your session mix.

Max upload size for Audio is 50 MB (compared to 1 GB for Video).

Presentation

The Presentation element lets you display documents and files directly on stage — visible to all participants as you advance through them. Despite the name, it's not limited to slide decks. You can upload PDFs, Word documents, PowerPoint files, Excel spreadsheets, and images — making it a versatile tool for sharing any visual content during your session.

The file is displayed on stage page by page. You advance it manually from the Left Panel during the session.
Not Just PowerPoint

The Presentation element accepts a wide range of file types — use it for sales decks, one-pagers, contracts, spreadsheets, product images, infographics, or any document you want to walk attendees through on screen. PowerPoint files are automatically converted to PDF when uploaded.

Pro Tips

Convert to PDF before uploading — while PowerPoint converts automatically, exporting to PDF yourself first gives you more control over how fonts and layouts render on screen.

One element per file — create a separate Presentation element for each document so your library stays organised and you can swap between different files mid-session without confusion.

Launching Elements in the Live Studio

Once you're live in R-Link Studio, your elements are one click away. This article walks you through finding your elements in the studio, launching them on stage, and controlling them while your session is running.

The Elements Panel in the Studio

Once your session is live, all your saved elements are accessible from the Elements section in the Studio Controls panel on the left side of the studio. This is your command centre for everything you launch on stage.

The Left Panel shows Studio Controls → Elements. Your folders and elements load automatically from your library when you enter the session.

Launching an Element on Stage

Activating an element is a single click. The element goes live immediately for all participants — no loading screen, no delay.

The active element highlights in purple in the Left Panel so you always know what's currently running on stage.
  1. 1In the Elements section of the Left Panel, expand the folder containing the element you want to launch.
  2. 2Click the element name. It activates instantly — appearing on stage for all participants.
  3. 3The element row highlights purple in the Left Panel, confirming it is currently active and live on stage.
  4. 4To switch to a different element, simply click another one. The previous element is automatically removed from stage.
Pro Tip — Order Your Elements Like a Setlist

Arrange elements inside a folder in the order you'll use them during your session. You can then work top to bottom through the list as your session flows — no searching, no hesitation while you're live.

Element Controls While Live

Each element type has its own set of controls that appear when it's active. Here's what you'll see for each Core Element.

Controls appear on the stage area — not in the Left Panel — when an element is actively running.
Pop Out Presenter — Keep the Host Visible on Stage

Whenever an element takes over the stage — whether it's a video, audio, or presentation — a Pop Out Presenter button appears in the bottom right corner of the stage area. Clicking it opens the host's camera feed in a separate floating window so participants can still see and hear the presenter alongside the element content. This keeps the session feel personal and connected, even when a video or slide is the focus.

When an Audio element is active, a floating playback bar appears at the bottom of the stage. No visual is shown on stage for participants — audio plays through the room.

Video Controls

When a Video element is active, the video fills the stage (or appears in Picture in Picture / Background depending on the Display Mode setting). Controls appear on the video itself.

Presentation Controls

When a Presentation element is active, the document displays on stage with a full control bar at the bottom and an annotation toolbar at the top — letting you draw, highlight, and mark up slides in real time.

‹ / › NavigationAdvance to the next slide or go back to the previous one. Page count shows your position (e.g. 1/11).
ZoomZoom in or out on the current slide for a closer look at details.
Full Screen ⛶Expand the presentation to fill the entire stage view.
EndStops the presentation and removes it from stage.
ANNOTATION TOOLBAR
PenDraw freehand on the slide — visible to all participants in real time.
HighlighterHighlight text or areas on the slide.
Square / Circle / ArrowDraw shapes and arrows to point out specific content.
Colors & SizeChoose annotation color and line thickness.
FadeSet how many seconds annotations stay visible before fading out.
ClearRemove all current annotations from the slide.

Stopping & Switching Elements

Removing an element from stage is as straightforward as launching it.

Only one element of each type can be active at a time. Launching a second element of the same type replaces the first.
HOW TO STOP OR SWITCH
Click ✕ or EndEvery active element has a stop button (✕ or End) in its control bar. Click it to immediately remove the element from stage.
Click Another ElementClicking a different element in the Left Panel automatically stops the current one and launches the new one in a single action.
Click the Active ElementClicking the currently active (purple-highlighted) element in the Left Panel will deactivate and remove it from stage without launching anything new.
Elements Don't Affect Your Mic or Camera

Launching or stopping an element doesn't mute your microphone or turn off your camera. Your live feed continues uninterrupted — elements are an addition to your session, not a replacement for it. The only exception is Audio Ducking, which temporarily lowers mic volume while audio plays if enabled in the element settings.

The CTA Banner is a visual call-to-action card that appears on screen during your live session — visible to all participants. It combines an image, headline, description, and a clickable button, making it one of the most powerful tools for driving action while you're live.

What the CTA Banner Does

When activated, the CTA Banner appears as a panel on the left side of the stage — alongside your live video feed. It stays visible for as long as you keep it active, giving participants time to read it and take action. The button inside the banner is fully clickable for participants, linking them directly to any URL you set.

Common Uses for the CTA Banner

Drive sign-ups — Promote a free trial, registration page, or offer while you're presenting.

Share a resource — Link participants to a download, guide, or resource page relevant to your session topic.

Promote your offer — Display a product or service offer with a direct link to a sales or checkout page.

Event promotion — Announce an upcoming event or webinar and link to the registration page.

Social follow — Point participants to your social profiles, community, or newsletter sign-up.

Create a CTA Banner in the Admin Panel

The recommended way to set up a CTA Banner is in the Elements Library in your Admin Panel — before your session starts. This way it's saved, named, and ready to launch the moment you go live.

Admin Panel → Elements → + Add Element → CTA Banner. Pre-building elements is always the preferred approach before any live session.

Pro Tip — Build Multiple Banners in Advance

Create a CTA Banner for each offer, resource, or link you regularly share in sessions. Give each one a clear name (e.g. "Free Trial Offer", "Book a Call", "Download Guide") so you can swap between them instantly while you're live without any setup time.

Create a CTA Banner on the Fly in the Live Studio

You can also create a CTA Banner directly inside the studio while your session is running — no need to stop or pause. This is useful when you want to share a link or resource that wasn't planned in advance.

The + Add Element button is available in the Elements panel of the Left Panel at all times — even while you're live.
  1. 1While live, open the Elements section in the Left Panel.
  2. 2Click + Add Element at the top of the panel.
  3. 3Select CTA Banner from the list.
  4. 4Fill in the banner details quickly — at minimum a headline, button text, and URL — then save.
  5. 5The new banner is immediately available in your Elements panel. Click it to launch it on stage.
Heads Up

Creating on the fly means your attention is split while live. Whenever possible, pre-build your banners in the Admin Panel before your session so you're fully focused on your audience when it matters.

Launch the CTA Banner

Once your CTA Banner is saved in your library, launching it during a live session takes a single click.

  1. 1In the Elements section of the Left Panel, expand the folder containing your CTA Banner.
  2. 2Click the CTA Banner element name. It activates instantly — appearing on the left side of the stage.
  3. 3To stop the banner, click the button on the banner itself or click the active element again in the Left Panel.

Timing Is Everything

Launch your CTA Banner at the moment of maximum engagement — right after making your offer, during a Q&A, or at the end of a presentation. Participants who are already engaged are far more likely to click through than if the banner appears before context has been built.

Participant Experience

From the participant's perspective, the CTA Banner appears as a visual card on the left side of the session — alongside the host and other participants on screen. It's impossible to miss, and fully interactive.

Pro Tip — Reinforce the Banner Verbally

When you activate a CTA Banner, say it out loud — "You'll see a link just popped up on your screen, click the button to grab that." Participants who hear the verbal cue and see the visual at the same time are significantly more likely to take action than those who only see the banner silently appear.
